Choosing a Zoom Rooms setup

These are the decisions that are specific to Zoom. For room sizes, audio, and cameras in general, see our conference room design guide.

Zoom Rooms or a laptop in the room

A Zoom Rooms system is set up as a room with its own sign-in, a controller at the table, and one-touch join from the calendar. A laptop running Zoom in a BYOD room works too, but depends on someone connecting it. See BYOD or native room system to decide which fits each room.

Appliance or computer-based

Zoom Rooms can run on a purpose-built room appliance or on a computer paired with a controller, and the right answer depends on the room. Appliances are simpler to support. A computer-based room is more flexible when a room needs unusual inputs or extra software. Check Zoom's current list of supported hardware before you choose.

Rooms, licenses, and the account

Each room needs a Zoom Rooms license on your Zoom account, so the room count drives the recurring cost as well as the equipment. Ask who administers the account, how rooms are named and grouped, and who can change room settings.

Scheduling and room displays

Zoom lists room scheduling automation as a Zoom Rooms feature. Decide which calendar the rooms connect to, whether a scheduling display outside each room is needed, and what happens to a booking when nobody shows up.

Remote management and usage data

Zoom also lists remote room management and usage analytics. Decide who watches the room dashboard, what alerts matter, and whether usage data will change how rooms are used. Use it to find the rooms that are booked and unused, or used and unreliable.

Digital signage

Zoom lists digital signage among Zoom Rooms features. If a room display will show content between meetings, decide what is shown, who maintains it, and whether it is worth the extra setup.

Network for Zoom

Zoom publishes the addresses, ports, and quality-of-service guidance for its meetings. Share it with your IT team early and ask how it applies to room devices. The general questions are in our network readiness checklist, and handoff expectations are in commissioning and handoff.
