Choosing a Teams Rooms setup
These are the decisions that are specific to Teams. For room sizes, audio, and cameras in general, see our conference room design guide.
Teams Rooms or a laptop in the room
A Teams Rooms device signs in with its own room account, shows the room on the calendar, and joins the meeting with one touch. A laptop in a BYOD room can still run Teams, but each meeting starts with someone connecting cables. See BYOD or native room system to decide which fits each room.
Device and operating system
Microsoft publishes the devices it certifies for Teams Rooms, and the choice of Windows-based or Android-based room systems changes which devices and features are available. Check Microsoft's current device list and feature comparison at the time of purchase, and match the device to the room size, not the other way around.
Room accounts and licensing
Each room needs a resource account in your Microsoft 365 tenant and a Teams Rooms license of a type that fits how you want to manage it. Your IT team owns the tenant, so ask who creates the accounts, who holds the licenses, and who approves the sign-in policy.
Calendar and scheduling
One-touch join depends on the room mailbox being set up to accept meetings and show them on the device. Decide whether rooms auto-accept, how long a booking can run, and whether a scheduling panel outside the door is wanted.
Content sharing and control
Decide how people share: wired input at the table, wireless casting, or sharing from the Teams client in the call. Decide whether a Teams touch console is enough or the room also needs a custom control system for lights, shades, or extra displays.
Network and security for Teams
Microsoft publishes the addresses, ports, and quality-of-service guidance that Teams media uses. Give that to your IT team early and ask how they apply it to room devices. The general questions are in our network readiness checklist.
Management after handoff
Ask how room devices will be monitored and updated, who gets alerts when a device goes offline, and who signs in to the admin portal. Get the answers in the handoff documents.
